Overtime rates based on specified time frames

Overview

This feature allows talexio users to set different basic and overtime rates based on specified time frames, and different days of the week. All rates can be calculated on a prorata basis with the option to override the companies basic and overtime rates. Talexio users can also specify multiple rates for different days of the week, providing flexibility and customization all at employee level.

Note: This feature requires the use of talexio's Time & Attendance module. The employee also needs to have Time and Attendance enabled at position level.

Permissions

Specific permissions are required to be able to add these specified rates. These permissions are;

  1. Create employee
  2. Manage employment position history
  3. Manage all employee data
  4. Manage positions

Note: Talexio T&A module needs to be enabled in order to make use of this feature.

 

How to set up your employee overtime rates with a specified time frame

Setting up such is possible from two places;

  1. Creating a new employee
  2. Creating a new employee position

When creating a new employee from the People's module, at the overtime section, a new button will be available titled "Add additional shift allowances".

When creating a new employee position from the "Employment" tab in your employees dashboard, the same button is available.

Note: T&A must be enabled on the specified position in order to be able to add such rates.

 

Explanation of fields

The first field allows you to set a unique name to your rate.

Note: This unique name will be included in the employees payslip when overtime with this rate is added.

The next field allows you to set which days you would like to assign the rate to. You can choose between the following;

  • Standard
  • Saturday
  • Sunday
  • Public holiday
  • Public holiday, Sunday

Next, specify on which approved hours the rate will be assigned to;

  • Basic
  • Overtime

Specify your hourly rate by a monetary value (in €) or a percentage of the employee's hourly rate.

You can choose to override any other specified basic or overtime rate by switching on the "Override rate" toggle.

You can also choose to apply this rate during specified hours of the day by switching on the "Apply prorated to clocked time".

Once switched on, two new fields will appear to insert a start time and an end time.

How it works

Once the specified rates have been added and saved for your employee, any clocking that falls within any specified time frame will be paid at the specified rate.

Have a look at the below example;

This employee has various rates assigned to his position.

These shifts assigned to his schedule.;

  • Day shift: 06:00 - 14:00 (1 hour unpaid break)
  • Afternoon shift: 14:00 - 22:00 (1 hour unpaid break)
  • Night shift: 22:00 - 06:00 (1 hour unpaid break)

And the following timings were clocked;

  • Day shift: 04:00 - 16:30 (7 hours basic, 4 hours 30 mins overtime, 1 hour unpaid break)
  • Afternoon shift: 14:00 - 00:00 (7 hours basic, 2 hours overtime, 1 hour unpaid break)
  • Night shift: 21:00 - 08:00 (7 hours basic, 3 hours overtime, 1 hour unpaid break)

Notice how the clocked overtime falls within different time frames;

  • Day shift: 2 hours are before 06:00 (specified at 350%) and 2 hours 30 minutes after 14:00 (specified at 300%).
  • Afternoon shift: 2 hours after 22:00 (specified at 350%).
  • Night shift: 1 hour before 22:00 (specified at 300%) and 2 hours after 06:00 (specified at 250%).

After these clockings are approved and added to payroll, the overtime will be calculated based on the specified rate.

  • Hourly rate: €12.23
  • OT rate A at 250%: €30.58
  • OT rate B at 300%: €36.69
  • OT rate C at 350%: €42.81

Day shift

  • 7 hours multiplied by the basic hourly rate of €12.23 (€12.23 x 7 = €85.61)
  • 2 hours multiplied by the specified rate of 350% (Rate C) (€42.81 x 2 = €85.61)
  • 2 hours 30 minutes multiplied by the special rate of 300% (Rate B) (€36.69 x 2.5 = €91.73)

The total value of this shift would be €262.95 (€85.61 + €85.61 + €91.43)

 

Afternoon shift

  • 7 hours multiplied by the basic hourly rate of €12.23 (€12.23 x 7 = €85.61)
  • 2 hours multiplied by the specified rate of 350% (Rate C) (€42.81 x 2 = €85.61)

The total value of this shift would be €171.22 (€85.61 + €85.61)

 

Night shift

  • 7 hours multiplied by the basic hourly rate of €12.23 (€12.23 x 7 = €85.61)
  • 1 hours multiplied by the specified rate of 300% (Rate B) (€36.69 x 1 = €36.69)
  • 2 hours multiplied by the special rate of 250% (Rate A) (€30.58 x 2 = €61.16)

The total value of this shift would be €183.46 (€85.61 + €36.69 + €61.16)

 

Payslip example

When these clockings are attached to the employees payslip, an automatic break down will be added accounting for all the hours split between the specified rates.

When added to an employee payslip, the "Unique name" will be linked to the clocking summary.
