How do I create an ad-hoc review?

Overview

Through the Performance Management Module, users can create and assign performance reviews for managers, colleagues, and themselves to undertake. In certain cases, you may need to create a review of a singular employee or a small group of employees only. This article explains how these ad-hoc reviews can be created. 

Ad-hoc Review
Ad-hoc reviews, otherwise known as one-off reviews, are a single review that would be created for a specific purpose. An example of this is at the end of an employee's probation period, a review for this single employee alone can be created.

Permissions

To access the Performance Reviews Page, you will need either Manage Performance Reviews or View Performance Reviews permission. Each of these permissions allows different functionality:

  • Manage Performance Reviews - This permission allows the person to view and amend performance reviews as well as create new performance reviews.
  • View Performance Reviews - This permission gives access to an employee when set on "Self" to view and complete all the reviews they are asked to complete. It also gives them view-only permission on other individuals' reviews when granted over other employees/units.

Creating an ad-hoc review

In the Reviews tab and on the ad-hoc review section, the reviews that are visible to a person are shown. From the same tab. Ad-hoc reviews are created following the steps below.

       

  1. From the Reviews tab and on the ad-hoc reviews section, click on the button Create review and select Ad-hoc review.



  2. In the box that appears, complete step 1 by providing the review details:


    • Review Date - The date that the review should be completed.
    • Who will be reviewed? - The employee who is the subject of the review. All criteria ratings are ratings of this employee.
    • Who will the reviewers be? - This is the individual(s) who will be completing a review about the employee in the Who will be reviewed? field.
    • Competencies - From the categories and competencies that show, select the ones applicable for this review and their weightings.
  3. Also, from the box above, complete step 2 by adding the competencies to be reviewed from the available ones.

  4. You are also able to include the objectives in the review score calculation by checking on the highlighted toggle below. Another interesting feature here is the ability to modify the weight of the objectives as compared to the review criteria in the calculation of the final score. You can drag the spindle either leftward or rightward in order to specify the percentage weight of the objectives in the final score calculation. 

  5. With all the details completed, click on Create Review. This will publish the review to all the employees in the Who will the reviewers be? field.

During the review process, employees will receive email notifications when the review is created, 3 days before the review is to be submitted, and on the day the review is to be submitted.

Review Email Notifications

During the review process, employees will receive email notifications at these following points:

  • When the review is created
  • 3 days before the review is to be submitted
  • On the day the review is to be submitted

If the review is submitted before these points, then no notification will be sent.
