- Line Managers
A line manager is a user who holds specific permissions related to vacancies and applications but does not have full administrative control. The role permission includes several functionalities, such as creating vacancies, reviewing candidates' CVs, and accessing shortlisting questions, among others.
Functionality Available to Line Managers
Line manager permissions provide a clear overview of essential information and access to specific vacancy details, enabling efficient management of the recruitment process. Below are the permissions available to line managers.
How Does it Work
A Line Manager must first be linked to a vacancy by the Vacancy Leader. Once linked, the vacancy will become visible to the Line Manager. Depending on the permissions assigned, the Line Manager can then review applications, view candidate CVs, update application statuses, and add or view notes. Email notifications will be sent to the relevant users when application statuses are changed.
How to view the Vacancies Linked to a Line Manager
Line managers can only see vacancies that are directly associated with them, ensuring a clear and focused view of their responsibilities. On the other hand, users with admin rights have control in assigning line managers to the appropriate vacancies,
If you are unable to view a particular vacancy, please confirm with the relevant vacancy leader whether:
- The right vacancy has been assigned
- The vacancy status of the vacancy is an open one
- The closing date of the vacancy is in the future
- The vacancy has been published
How to view a Candidate's CV
To view a candidate's CV:
- Select the Relevant Vacancy
- Go to the Applications tab
- Find the relevant Candidate and click on the name. You can also click on the three dots for a menu to appear.
- From the menu, select "View Resume" to open a preview of the CV.
You’ll now see the candidate’s CV displayed for easy viewing. Need to save it for later? You can also download it with just a click.
How to Change an Application Status
A line manager can assign and change the status of an application, but the status options available are limited to those specifically assigned to line managers. To ensure you a status is available to the line manager, the "Available to Line Managers" setting is marked as "Yes" for that status.
- Go to the Vacancy you would like to review
- Go to the Applications tab
- Select the relevant candidate and click on the application status dropdown
The application status will now be updated. You can also add a note by clicking the three dots at the end of the row.

How to add and view notes on a candidate
To keep track of candidate-specific details, you can easily add and view notes within the system. Adding a note allows you to record important information or reminders while viewing them ensuring you stay updated on key details. Below are the steps to add a note from both the candidate section and the vacancy section.
- Go to the Candidate Section and select the candidate
- Click on the Notes Tab
- Click on "Add Note"
- Go to the Vacancy Section and select the relevant vacancy
- Go to the Applications Tab
- Click on the three dots and click "Add Note"
- Click on "Save Note"
The note will be visible to admins and line managers, however, the candidate will not be able to see these details.
