The following article aims to explain how line managers can efficiently manage vacancies and applications by utilising features such as reviewing candidate details, updating application statuses, and accessing interview reports.

You’ll also learn how to link line managers to vacancies and streamline the recruitment process. This guide is designed to help you navigate these tools with ease and maximize your efficiency.

Line Managers
A line manager is a user who holds specific permissions related to vacancies and applications but does not have full administrative control. The role permission includes several functionalities, such as creating vacancies, reviewing candidates' CVs, and accessing shortlisting questions, among others.

 

Functionality Available to Line Managers

Line manager permissions provide a clear overview of essential information and access to specific vacancy details, enabling efficient management of the recruitment process. Below are the permissions available to line managers.

    • View Landing Page 🖥️

    • View and Add an Interview Report📊
    • View Documents📝
    • Add Notes✍️
    • View Vacancies 📋 - Those assigned to them for management or review
    • Export CVs📄
    • View and perform action from Dashboard🚀

How Does it Work

A line manager will need to be assigned to a vacancy before any work can be completed. The following process explains the flow of a line manager's permissions work.

  1. A vacancy leader will link a line manager to a vacancy.

  3. When a vacancy leader changes the status of an application, an email will be sent to the line manager, given that the status is visible to them.

    Please note that an email notification will be sent for all application statuses, however, the email will only be sent once for the initial application status change.

  4. Line managers will be able to change the application statuses to a new status, based on the provided permissions.
  5. When the application status is changed by a line manager, the vacancy leader will receive an email.

 

How to view the Vacancies Linked to a Line Manager

Line managers can only see vacancies that are directly associated with them, ensuring a clear and focused view of their responsibilities. On the other hand, users with admin rights have control in assigning line managers to the appropriate vacancies,

If you are unable to view a particular vacancy, please confirm with the relevant vacancy leader whether:

  • The right vacancy has been assigned
  • The vacancy status of the vacancy is an open one 🟢
  • The closing date of the vacancy is in the future 📅
  • The vacancy has been published

 

How to view a Candidate's CV

To view a candidate's CV:

  1. Select the Relevant Vacancy
  2. Go to the Applications tab
  3. Find the relevant Candidate and click on the name🧑‍💼. You can also click on the three dots for a menu to appear.
  4. From the menu, select "View Resume" 📄 to open a preview of the CV.Viewing-CV-Talexio.gif

You’ll now see the candidate’s CV displayed for easy viewing. Need to save it for later? You can also download it with just a click.

 

How to Change an Application Status

A line manager can assign and change the status of an application, but the status options available are limited to those specifically assigned to line managers. To ensure you a status is available to the line manager, the "Available to Line Managers" setting is marked as "Yes" for that status.

  1. Go to the Vacancy you would like to review
  2. Go to the applications tab
  3. Select the relevant candidate and click on the application status dropdown

The application status will now be updated. You can also add a note by clicking the three dots at the end of the row. Changing-Application-Status-Tale.gif

How to add and view notes on a candidate

To keep track of candidate-specific details, you can easily add and view notes within the system. Adding a note allows you to record important information or reminders while viewing them ensuring you stay updated on key details. Below are the steps to add a note from both the candidate section and the vacancy section.

  1. Go to the Candidate Section and select the candidate
  2. Click on the Notes Tab
  3. Click on "Add Note"✍️

  4. Click on "Save Note" 💾

The note will be visible to admins and line managers, however, the candidate will not be able to see these details.

 

How to view Interview Reports

  1. Go to the Vacancies Section and select the relevant vacancy 📋
  2. From the interview pod, click on the three dots
  3. Select "Add Report" 📊
  4. You can now include any information gathered from the interview and add it into the report.
  5. Click on "Save" 💾
