Kanban is a powerful feature within Talexio’s ATS system designed to streamline your recruitment process. It provides a clear and visual representation of vacancies at every stage of the hiring pipeline, allowing you to track progress, identify bottlenecks, and manage workflows more efficiently. This article explains what Kanban is, how it works and how to set it up.
What is KanBan?
Kanban, a dynamic visual management tool in Talexio’s ATS, simplifies the way recruiters track vacancies throughout the hiring process. It provides:
- Column-based stages 📊 representing each step of recruitment.
- Vacancies as cards 📌 for a clear, real-time overview of your hiring pipeline.
- Seamless integration with both vacancy and application statuses, allowing you to track open positions and candidates side by side.
- Customisable columns, set up in the settings section, to match your workflow.
You can customize recruitment stages to include: Applications Received 📥, Screening 🔍, Interviewing 💬and Appointed 🎉etc.
Setting up Kanban
To visualise your vacancies, you will need to create your custom columns for your Kanban board. To do so, you will need to:
- Go to the Settings Section⚙️
- Under Configuration, select "Kanban Columns"
- Click on "Add Column" to start creating your board structure
- Fill in the required column details
- Click "Create" to save your column. It will now appear in the Kanban section, linked to the corresponding vacancies and applications.

- Column Title: Clearly define which vacancy and application statuses will be associated with this column.
- Column Position: Determines the column’s order within the workflow. Align it with the recruitment process for a logical flow.
- Status Value: Choose between Open and Closed. When a vacancy moves to a closed status column, it will automatically be unpublished.
- Ideal Duration ⏳: Recommended time a vacancy should remain in this stage before progressing.
- Vacancy Status📋: Determines which vacancies are linked to this column based on their current status.
- Application Status: Defines which applications will be associated with this column based on their progress.
