Monthly Summary View in Review & Approve

Overview

The Monthly view is a feature on Talexio that will help you review the clockings of a month more easily. This can be found in the Review & Approve tab of the Time & Attendance section.

Permissions

To make use of this, you will need to have the Approve Time Clocking permission.

Using the Monthly Summary View

To access the Monthly Summary View, you need to go to the Review & Approve tab of the Time & Attendance section. 

From there, click on the Summary button and click on the Views filter field and select Monthly.

Besides selecting the month being viewed, you can further filter your Monthly Summary View by Department, Job Schedules and/or by employees without any approved clockings.

The Monthly Summary View shows at a glance the clocking insights of your employees based on the following fields:

  1. Employee - You will see the employee name and code. Clicking on the avatar to the left of the employee's name will take you directly to the employee's profile.
  2. Approved Basic - Here you will see the number of approved basic hours - if any.
  3. Leave & Public Holidays - You will also see how many hours are made up of leave and how many are made up of public holiday hours.
  4. Total Basic - Here you will see the total basic hours, which is the Approved Basic + Leave + Public Holidays hours.
  5. Job Schedule - Here, you will see the total hours the employee is expected to work per month as per their Job Schedule.
  6. Approved OT - Here, you will see how many hours of overtime were approved.

Exceptions

An exception will appear as a red box with an exclamation mark. Clicking on it will show you what the exception is.

 

Clicking on the exception message will redirect you to the Review & Approve section of the Time & Attendance module so that you can proceed to approve the employee clockings as needed. The redirection will apply the filters of the employee from which you clicked the exception.

 

When the monthly expected hours are met exactly, the system will show a Green tick in place of the exception.

The monthly expected hours are determined by the Job Schedule. This is not necessarily the same as the Payslip Basic Hours.
For example, an employee that works 40hrs/week who is paid monthly has Payslip Basic Hours of 173.3333hrs. However, the Job Schedule hours for the month are based on the number of hours an employee works a day and how many working days there are in the month.
