Overview

Open shifts is a feature in Talexio that helps you fill gaps in your Working Schedule. An Open shift can be created for employees to claim on a first-come, first-served basis. Once claimed, the Open shift will be part of that employee's schedule.

A guide showing how to claim an Open shift has been created here. This can be shared with your employees.

Permissions

You will need the Manage T&A Working Schedules permission to set up open shifts. You will need the View T&A Working Schedules permission to claim them.

Creating an Open Shift

Manually

When you have identified a gap in your Working Schedule, you can add an Open shift following the steps below:

  1. From the Time & Attendance module, click on the Working Schedule tab. From the Working Schedule, click on the + button for the day on any employee and click Add Shift.

  2. When the Add shift dialog appears, in the Who? section, enable the toggle Open shift. If the Open shift is only applicable to employees in a specific department or who have a specific position title, include this in the relevant fields. The Open shift will then be available only to employees with those specific details.

    The Department and Position fields are mandatory fields but only one needs to be completed. The Position field is a multi-select field meaning more than 1 position title can be included.

  3. After completing the Who? section, proceed to create the rest of the shift details. The shift will be added to the Working Schedule in an Unpublished state, so when ready, the shift will need to be published.

  4. Once published, an email notification will be sent to the relevant employees for one of them to claim. Alte

From a Working Schedule Need

If you have enabled and created Working Schedule Needs, you can create an Open shift from the Working Schedule Need warning message, by clicking Add Shift on the relevant warning.

 

After clicking Add Shift, you can follow the steps mentioned above to create the shift, but the system will automatically fill in the Who? section details according to the Working Schedule Need.
