Step 6: Survey Settings

Overview

After setting up your departments, participants, and survey questions within the TeamVoice module, the next step is to configure how and when your survey will run. In this section, you will be able to schedule the survey’s launch and closing dates, ensuring it is available to participants for the desired period. This stage allows you to define the anonymity threshold, helping you safeguard participant confidentiality and ensure that reported insights remain anonymous

Permissions

To add your survey settings, you must have Manage Survey permissions or be a Survey Admin. Having the Create TeamVoice permission and being the creator of the TeamVoice allows you to create customise the survey settings.

 

Setting up your Automation Settings

When creating your TeamVoice survey, you will need to set the launch date and time that determine when employees will receive the survey. You can also customise the launch message that will be sent to participants as soon as the TeamVoice is delivered.

To set the launch date and time, click the calendar icon on the far right. Select the date you would like the survey to be issued, then specify the exact time it should be sent to participants.

Through the email icon on the far right of the screen, you can also customise the email that employees will receive when the TeamVoice survey is sent.

After setting the launch date of the survey, you can proceed to add the end date. The end date determines when participants will no longer be able to complete the survey. It is recommended to set the end date at least two weeks after the launch date.

To set the end date and time, click the calendar icon on the far right. Select the date and time after which participants will no longer be able to submit their responses.

 

Setting up Reminders

In addition to choosing the survey’s launch and end dates, you can also set up reminders to notify TeamVoice participants that they still have a pending survey to complete. Each reminder sends an email notification, which you can be customise.

To create a reminder:

  1. Click the Add Reminder button.
  2. Select the reminder date and time using the calendar icon.
  3. To customise the reminder email, click the email icon and edit the message as needed.
  4. If you’d like to add more reminders, simply repeat the steps above.

Anonymity

The next step in your survey settings is setting the Anonymity Threshold. This is the minimum number of responses required before survey results are displayed. It helps protect participant anonymity and prevents identification based on individual responses.

To set the anonymity threshold, click on the dropdown and select the minimum number of responses that must be shown.

If a group has fewer participants than the selected threshold, their results will be combined with a larger group to ensure anonymity.

Next Step

Once your TeamVoice settings are configured, you’re ready to move on to the next step. If your survey includes additional languages besides English, the next step is to upload translations for all selected languages. If no additional languages have been selected, you have reached the final step: launching your survey.
