Overview
Talexio is able to import employee documents and profile pictures uploaded to a Talexio FTP. These files will be linked to the correct employee, data category, and, optionally, the related course in the case of training certificates. This article explains the requirements for the upload of employee profile pictures.
Permissions
To view or manage other employees' profile pictures individually, users must have the 'Manage Employee Documents' permission enabled. There are no permission checks when using the FTP to upload the files in bulk.
FTP Credentials
To get started with this integration, please contact our Support Team. Once configured, our team will provide your FTP credentials. It is critical to remember that these credentials are very sensitive as they allow the person who has the credentials to upload documents into any employee of the client’s account on the system. Upon processing the files from the FTP, talexio will automatically delete the contents of these directories. So this FTP folder should not be used as a backup storage.
General Setup
Within the FTP directory, ID_CARD_NUMBER within the file name is what is used as an identifier to link documents to employees. Therefore it is important the right ID_CARD_NUMBER is used in the FTP file name and in Talexio.
If more than one employee is found with the same ID_CARD_NUMBER, they will each get this file placed into their documents.
Please limit your bulk uploads to a maximum of 2GB a day. Breaching this limit may result in interrupted service.
Uploading Employee Profile Picture Files
Any employee profile picture files must be stored in a sub directory explicitly called Employee Profile Pictures. All the files in this directory will expect this file name format:
[idcardnumber]_[filename].[extension]
idcardnumber - The idcardnumber is a requirement in linking the file to the correct employees. It must match exactly with the value stored on the system.
filename - The _filename part is optional. If provided, what is written will be used as the filename. Otherwise, the system will default to the original full filename.
filename can include spaces and hyphens. The underscore symbol is used for splitting therefore please avoid this.
extension - Allowed file extensions are: .jpeg, .jpg, .png, .gif, .bmp.
