Overview
The Leave Reports feature in the Leave Module allows HR teams and Managers to export accurate reporting data based on Leave Schedule filters. Users can analyse balances, individual totals, unit totals, and full leave histories to streamline workforce planning.
Leave reports automatically exclude employees who do not have any entitlements for the selected leave type (e.g. employees without Maternity Leave allocations). This removes redundant empty rows and improves report generation speed.
Permissions
To generate leave reports, you require the Request Leave permission set at either the Global or Unit level.
Report Types
You can export four distinct report types from the Leave Schedule:
- Leave Balances: Displays current available leave balances up to a specified date.
- Totals by Employee: Summarises total leave taken per employee within the selected period.
- Totals by Unit: Aggregates leave consumption grouped by organisational unit.
- Full Leave Export: Exports complete transactional leave data for comprehensive auditing.
How to Export a Leave Report
- Navigate to Leave > Leave Schedule.
- Apply the required filters (e.g. Department, Employee, or date range) using the top filter bar.
- Click Reports in the top-right corner and click Generate a new report.
- Select your required report type from the options.
- Choose the desired report fields in the Report columns.
- Optional: Tick Exclude employees with no approved leave to omit employees who have no approved records for the given date range.
- Click Generate Template to download your file.
Like many other Talexio modules, your reports can be saved as templates and also scheduled.

If you have a report that you will need to generate on a regular basis, you can create a report template, so that you do not have to re-apply the fields and filters each time you wish to create the report. To create a Report Template in the People Section, you need to:
- Click on Reports and then click on Generate a New Report.
- Add your Report Settings, then click Save Report Template.
- Save the Report Template with a name that will be recognisable to you at a future time. Then click Save.
- The Report Template saved will now be easily accessible from the Leave page when you click on Reports. When you click on the Report Template, all the details from Step 2 will be present so all you need to do is click Generate.
- To delete a Report Template, you can click on the saved template and in the top right you will see a delete icon which will template shown.
Report Templates can be overwritten or cloned by accessing the Report Template and making the needed changes. When you click on Save Report Template, a toggle is presented to Save as a new template. Turned on will create a new Report Template with the name provided. Turned off will overwrite the Report Template under the same name.

Building on the Report Templates feature, you can setup an instruction in the system to automatically generate and send saved Report Templates to selected employees.
Employees receiving the report will need to have their 'Work Email Address' saved in their profile.
To schedule Report Templates, you will need to:
- Click on Reports button on the People page and then click on Scheduled reports.
- Click on the + Add New to show the set up dialog.
- Fill out your details and choose your repeat period "Weekly or Monthly", then your "Repeat day" and move on to your "Receivers". There is also the option to set up a dynamic date range for the report. Once complete click on Schedule Report.
- Once saved, the report will be generated and sent to the specified employees' Work Email Address with the report name as the subject. In the email will be the report attached as an Excel file.
- Scheduled Report rules can be changed and deleted by going to the Scheduled Reports and clicking on the edit or delete icon.
The maximum file size that can be sent for scheduled reports is 10MB. If a scheduled report exceeds this size, you will receive an email notification stating that it was not able to be sent.
- Your Leave Reports also include a Standard Sick Leave Report that will allow you to generate two different types of reports. These can be downloaded from the Leave section, by clicking on Reports and Employee Sick Leave under the Standard Reports heading:
- Absenteeism rate: This report shows the percentage of work hours lost due to employee sickness, helping to identify trends and areas for improvement in attendance management. This can be grouped by department or employee. This report only considers the default sick leave setting (this means that any custom sick leave types are not included).
- Employee Bradford scores: This report calculates the Bradford Factor score for each employee, which is a measure of employee absenteeism based on the frequency and duration of their absences. This report only considers the default sick leave setting this means that any custom sick leave types are not included).
