If this is your first time on Talexio, then this is the article you will need to help you set up your account. Talexio is made up of numerous sections (found on the left hand side of your screen).
1. Settings
The first section you need to go to is the Settings section:
Here, you will see a number of tabs, such as client settings, integrations, organisation, positions, etc:
- Client settings
This tab includes basic settings such as company logo, and the Talexio colour scheme (you may choose your company's brand colour scheme as the main colours on your Talexio interface).
You may also set a daily time for employees to receive daily leave emails (emails listing the employees on leave each day).
- Integrations
If you have our ATS module, then you can integrate your account with Talexio from this tab.
- Organisation
This is where you create your company's departments and organisational structure. For a step-by-step guide on how to do so, click here.
- Positions
This is where you create the job titles for your employees. For a step-by-step guide on how to do so, click here.
- Benefits
This is where you add the list of different benefits that your employees may be entitled to. These may include mobile allowances, travel allowances, gym membership, company bonuses, etc. By default, the standard CAT allowances are already saved on the system. - Perks
This is where you add the list of perks that you employees may be entitled to. Perks can include employee discounts or health insurance benefits. For more information on this, click here.
- Template documents
Here, you may upload any document templates such as contracts to automatically generate these from the system. The wizard in this tab will guide you how to upload.
- Payroll
If you do not have the payroll module enabled then you will not see this tab. If you do, you can input the company's payroll details, as well as the company's bank account details. For more information on this section, click here.
- Custom fields
You may make use of this tab if you want to add any specific fields which aren’t on the system. For example, if you want each employee profile to include whether or not they have a car license, you may add this field from here. For a step-by-step guide on how to do so, click here.
- Cost centres
If you wish to create any cost centres (for reporting purposes), you may add them from here. If you assign employees to a cost centre, then you will be allocating the costs of each department to a cost centre.
- Data retention/GDPR
Here, you may set any policies with respect to GDPR.
- Work codes
If you have the Time and attendance module enabled, you may wish to add work codes. Work codes are separate hourly rates for different roles. or a step-by-step guide on how to create work codes, click here.
2. Job schedules
Once you are done from this, you can go to the Job Schedules section to set up the work schedules available in your company.
Note: If you have Time & Attendance enabled, you will find the Job schedules page within this section.
3. Leave
Next, you may go to the Leave section.
- Import Public Holidays by country and review list imported. For more information, click here.
- Set up Leave Types for your company and default colour. For more information, click here.
- Set which Leave Types should be visible to employees and which they should be allowed to book - by default this should only be Vacation. Any Admin will be able to view all leave types.
- Set up Vacation leave and Sick leave as Pro Rata.
- Save default leave entitlements (these may vary by company):
- Vacation leave 224 hours (in 2022)
- Sick leave 80 hours
- Injury leave (employees are entitled a year's injury leave)
- Marriage leave 16 hours
- Birth leave 8 hours
- Maternal leave 560 hours
- Parental leave 8 hours
- Bereavement leave 8 hours
- Urgent family leave 15 hours
4. Permissions
The next step is to set up permissions on Talexio.
First, set up Roles: These are not job roles but permission roles, i.e. access given to certain employees based on the role they are linked to. At a minimum you will require:

- Admin access with all permissions
- Employee access - View employee info and Request Leave
Then, assign a Role to employees according to the level of access you would like them to have. For more information on assigning permissions, click here.
5. Checklists
After this, you may set up checklists (to-do lists for yourself and/or employees). Set up template checklists that will be used for onboarding, offboarding, work permit renewal and so on. For more information on checklists, click here.
6. Adding Employee Data
Now you are finally ready to add employees to Talexio! There are two ways of doing so.
- Individual employee. You may input the data of one employee at a time by click on Add new employee. For a step-by-step guide on how to do so, click here.

Once you have completed the above, you will have successfully set up your account!
