Booking Half Pay/Unpaid Leave

Overview

Each type of leave can be booked under three different pay types:

  • Full Pay;
  • Half Pay; and
  • Unpaid.

However, please note that by default, leave types are set up to only allow the leave to be booked as Full Pay. With the permissions mentioned below, you will be able to allow for half pay and unpaid leave bookings. So how is this set up?

Permissions

First and foremost, to set up a leave type, you will need the Manage Leave Types permission to set up leave types and their relevant settings. Please note that this needs to be set on global. You will also need the Approve Leave permission to determine whether a leave booking is saved as full pay, half pay, or unpaid. If you have the Request Leave permission (in addition to the Approve Leave permission), then you will be able to book leave as full pay, half pay, or unpaid. Having the Request Leave permission on its own will not allow you to change the leave type. 

How do I set a leave type as half pay/unpaid?

The ability to set up a leave type as unpaid/half paid can be found in the more options button in each leave type. Click here for detailed information on this. Go to the Leave section and click on the Leave Types tab. From there, locate the leave type which you would like to set up as half pay and click on More. Then click on More Options. 

From here, you may select whether to switch the half pay/unpaid settings on or off:

To enable this setting, having the Manage Leave Types permission (set on global) is enough. 

How do I book leave as half pay/unpaid?

If you have both the Request Leave and Approve Leave permissions, then you will be able to book leave as half pay or unpaid. For information on how to book leave, we recommend you having a look at this: How do I book leave?

Once you are on the leave request dialog, you will see a field called pay type. This is not available for users who do not have the Approve Leave permission set on the person for whom they are booking the leave.

Simply click on the pay type and select whether you want this leave to be booked as full pay (default), half pay or unpaid:

If you have booked multiple leave dates, then you can select the set all unpaid option:

How do I approve leave as half pay/unpaid?

If you do not have the Request Leave permission then you will be able to amend the pay type of an employee's leave after the request was sent:

Leave hours will be deducted automatically based on the balance of the employee. That is, Full pay will be deducted first, followed by Half pay, and ultimately Unpaid.
