Overview
Third-party referrals are used when third parties refer candidates to a specific vacancy. These candidates would afterwards take ownership of their account.

- A third party is an individual who is not part of your company but supplies candidate applications for specific vacancies you give them access to. These could be other companies or recruitment agencies you use to find suitable candidates.
Creating a Third-party Referrer
The process for creating a Third-party referrer is shown below:

From the ATS, select the Contacts menu item and then select + Create Contact -

In the dialog box that opens, add the details of the Third-party referrer. Not all fields are mandatory but the mandatory ones are identified with an asterisk (*).
Once the details are completed, click Save. -

Once saved, you will see the newly created Third-party referrer in the list of Contacts.
Assigning a Third-party referrer to a vacancy
Once the Third-party referrer has been created, they will need to be assigned to the vacancy for which they will be submitting candidate profiles. To do this, you will need to follow these steps:

From the ATS, select the Vacancies menu item and then select specific vacancy they will submit candidate applications for. -

From the Vacancy page, select the Third Party Sources tab and then select + Invite Contact. -

In the dialog box that opens, add the details of the Third-party referrer and any note to be shared with them. Once completed, click Save. -

Once saved, you will see the newly added Third-party referrer in the list.
The newly assigned Third-party referrer will receive an email notification that they can now submit candidate applications for the specified vacancy with a link to the ATS:
The third-party referrer will receive an email template called (AUTO) THIRD_PARTY_INVITATIONS. To edit the text of this email template go to Setup > Email templates. Placeholders (content within the curly brackets) must not be edited as this will be automatically replaced by the data included in the ATS.
How do Third-party referrers submit applications?
- When assigned Third-party referrers receive the email notification with the link, they will click the link to open the ATS. The page will show all the vacancies for which they have been assigned to.
- They will click on the vacancy for which they want to submit an application for and then from the dashboard will select + Add Application.
- In the dialog box that opens, they will add the details of the candidate. Not all fields are mandatory but the mandatory ones are identified with an asterisk (*).
Here they will also answer any shortlisting questions created on the vacancy on behalf of the candidate. Once completed they can click Save to finalise this application, or click Save & Add Another to make another candidate submission.
When this is completed the candidate will receive an email notification to advise the application has been submitted and they will need to take ownership of their account.
Once candidate information is uploaded, they will be automatically added to the list of vacancy applications, with the Source indicated:
Candidates who have already applied for the vacancy will not be allowed to be submitted. They will be identified by the email address of the candidate.
