Paying Off Previous Year's Leave

Overview

Employees are entitled to annual vacation leave where any unused portion is paid off. This guide explains how to settle, in the new year, any remaining leave from the previous year through the Payroll module.

Permissions

  • View/Manage All Employee Data: Required to view leave balances. This can be set on employee, unit or global level.
  • Manage Payroll: Required to add adjustments to payslips. This can be set on employee, unit or global level.

Prerequisites

Leave pay-offs in the Payroll module apply only to current year leave entitlements. Make sure all previous year entitlements, including carried forward and payable ones, are moved to the current year before continuing.

Paying Off Remaining Leave Balances

Since the leave was carried forward, the first payroll will pay only the carried-over portion, not the full current year balance. The process to follow is:

  1. Navigate to the Payroll section.
  2. Open the Payslip of the chosen employee.
  3. Click the +Add Leave Payoff button at the bottom right-hand corner.
  4. Select the Leave Type from the dropdown menu.
  5. Untick the Auto checkbox to specify only the Hours that were carried forward to be paid off.
  6. Click Calculate and then Save.

Once the payslip is locked, the employee's leave balance will update. If all leave is paid, the balance will show as 0.
