Overview

The Journal Entries Report is a specialised financial tool within the Payroll module designed to provide a comprehensive, detailed breakdown of payroll costs. This report serves as a bridge between payroll processing and financial accounting, ensuring all ledger expenses are accurately captured and formatted for seamless submission into external accounting software systems.

This report is not readily available by default. It must be activated manually on a per-client basis. If you would like this report enabled for your account, please contact our team at support@talexio.com.

Key Features of the Report

The Journal Entries Report is built with functional flexibility to match your organization's specific general ledger practices:

  • Flexible Grouping: Data can be structured and extracted based on your posting needs. You can choose to group costs by individual employees for highly granular operational tracking, or by account code to generate summary totals for quick General Ledger entry.
  • Customizable Account Codes: Account codes are dynamic fields managed within the database structure. Depending on your financial requirements, the code logic can be configured to dynamically output:
    • Cost Center and Cost Center Description
    • Department and Department Description
    • A combined layout of both parameters, facilitating precise tracking across complex multi-unit business structures.

Comprehensive Cost Breakdown Categories

All payroll cost calculations are categorised into the following core financial elements within the report:

Cost Element Name Financial Description
Gross Wage The total employee earnings computed prior to any statutory or voluntary deductions.
Tax Statutory income tax withholdings collected during the active payroll run.
MLF (Maternity Leave Fund) Employer-side contributions allocated for statutory Maternity Leave Fund obligations.
SSC & FSS Social Security Contributions (both employee and employer shares) and Final Settlement System deductions.
Post Tax Any financial adjustments or deductions applied to the payroll record after tax calculation has taken place.
Net Wage The final take-home pay payable directly to the employee.
