Overview
The Salary Scales feature in the Pay Management module helps organisations set clear pay structures for employee salary progression. By defining salary scales and user-friendly names, it promotes transparency, simplifies reviews, and ensures fair pay. This system supports compliance with the EU Pay Transparency Directive by using objective, gender-neutral criteria for pay and job grading.
Permissions
To view or manage salary scales, you require the following permissions assigned to your role:
- Approve Salary Review: Set up and modify salary scale structures, grades, and steps. This is required on a Global level.
- Manage Employment Position History: Assign salary scales within employee position records.
Configuring Salary Scales
Grades are ordered alphabetically, where Grade 'A' represents a higher scale than 'B'. Steps represent numeric increments within a grade, where Step 7 is higher than Step 5 (e.g., Grade A7 is higher than A5, and A1 is higher than B6).
- Navigate to Settings Position Management Salary Scales.

Select Copy Previous Year to duplicate an existing scale, or select Start From Scratch to build a new scale.

Click + Add to create additional grade levels and steps.
- Enter the appropriate numerical salary figures for each step and click Save.
Configuring Friendly Names
Friendly names allow administrators to replace default grade codes (e.g., Grade A, Grade B) with public-facing labels across employee positions.
Friendly names apply universally across all operational years. Updating a friendly name in one year automatically updates historical records for that grade.
- Locate the target grade within the Salary Scales table.
- Enter the custom title in the Friendly Name field adjacent to the grade.
- Click Save to update display labels across all linked position records.
Assigning Salary Scales to Employee Positions
Employees with the View Salary & Benefits permission will only see their total salary amount, not the underlying grade or step designation.
- Navigate to People and select the target employee.

Select the Employment tab and click Remuneration Package.
- Toggle the Salary Scales switch to the active position.

Select the desired scale grade and step from the Salary Scale drop-down menu.
- Click Save to confirm the position update.
