Overview
The Visitor Logs feature allows organisations to track guest check-ins and check-outs in real time using a shared kiosk device. Integrated with the Cloud Device Manager (CDM) system, this feature helps maintain site security and accurate on-site visitor logs for emergency roll call reporting.
Permissions
To view visitor logs in CDM you will need access as an Admin. To generate emergency roll call reports you will need the Insights permission which should be set on Global level.
Prerequisites
Before configuring visitor clockings, ensure you have:
- A shared online device (such as a tablet or kiosk display) located at your site reception.
- An active Cloud Device Manager (CDM) account configured for your organisation.
Configuring the Shared Kiosk Device
Connecting the shared device to the Talexio HR Time & Attendance module is optional unless the device is also used for employee time clockings.
- Set up and launch the web browser on your shared kiosk device.
- Navigate to your standard punch clock URL (e.g.,
https://cdm.talexiohr.com/WEB:your_code/punch-clock). - Modify the URL endpoint from /punch-clock to /visitors (e.g.,
https://cdm.talexiohr.com/WEB:your_code/visitors). - Save or bookmark the updated URL to load the dedicated visitor interface automatically.
Visitor Check-In and Check-Out Workflows
When arriving at the site, visitors perform the following steps on the shared kiosk device:
- Select Check In on the visitor kiosk screen.
- Enter full details in the required fields:
- Full Name
- Company / Organisation
- Contact Number
- Purpose of Visit
- Click Submit to complete the check-in process.
When departing the site, visitors check out to ensure accurate real-time attendance logs:
- Select Check Out on the visitor kiosk screen.
- Identify the registered visit by entering the assigned Full Name, PIN, or Mobile Number.
- Confirm and click Check Out.
Accessing Visitor Logs & Emergency Roll Call Reports
You can review recorded visitor data through CDM or generate comprehensive safety reports in Talexio HR:
- CDM Transactions: Log in to CDM, select the Transactions tab, and select the Visitors radio button to filter exclusively for visitor clocking data.
- Emergency Roll Call Report: Navigate to People Roll Call in Talexio HR. The generated report automatically includes all currently checked-in visitors alongside scheduled employees on-site.
