Overview
What if an employee already has data and you need to only update a field or add data to an employee who already exists?
This article explains how the data can be updated in bulk using the Employee List template.
Permissions
To access the Employee List template, you will need the Manage All Employee Data permission. This needs to be set over the employee who you will be updating.
Bulk Updating Existing Employee Data
If you have a list of employees who have existing profiles, their data can be updated in bulk using the Employee List template. The bulk upload template can be found by going to People > 3 dot menu > Employee List.
After downloading the template, determine the employees who will have their data updated using the EMPLOYEE_CODE column. You will only then need to update the fields that need to be overwritten. Any fields left blank in the template, will be ignored and the existing data will remain.
If there are employees who have multiple positions, you need to include the start date only if it is until present or start & end dates if these are set, but if the employee has only 1 position line, there would be no need to include the start/end dates to overwrite employment details
After doing so, save the template and upload it to Talexio from the same location it was downloaded from.
If data is uploaded that is dependent on other fields also requiring completion, you will see a message to advise which field needs to be included.
When uploading Employee Details (not employment information), the system will ask you to overwrite employment details. This needs to remain unticked.
When uploading Employment Details, the system will ask you to overwrite. This needs to be ticked.
If a bulk upload includes two employees—one requiring an overwrite and one not requiring it—the upload will fail because overwrite must apply to all employees or none. Create two separate templates: one for employment details that require overwriting and one for employee details that do not.
