Overview
Email templates in the ATS module allow you to standardise and automate your communication with candidates, ensuring a professional and consistent brand voice. This feature reduces manual effort by using placeholder tags to pull candidate and vacancy information directly into your emails.
Permissions
To add, amend or delete ATS email templates, you will need to be set as an ATS Admin.
Prerequisites
Ensure you have your company's preferred Reply-to address and From name ready to ensure candidate replies are routed to the correct recruitment inbox.
Instructions
Do not delete templates prefixed with (AUTO). These are hard-wired to specific system triggers (such as GDPR notifications or application acknowledgements). While you can freely amend the content, subject line, and sender details of these templates, deleting them will prevent the system from sending these essential automated notifications.
- Navigate to Settings > ATS > Configuration > Email templates.
- To create a new template, click + Add Template. To modify an existing one, click the Edit (pencil icon) next to the template title.
- Define the sender identity fields:
- From email address: The address candidates see as the sender.
- From name: The name displayed in the inbox (e.g., Talexio HR Team).
- Reply to email address: The email address that will receive candidate responses.
- Enter the Email subject and compose your message body.
- Click Add placeholder tags to insert dynamic fields that automatically populate with candidate or vacancy data.
- Click Save.
