Overview
Through the introduction of the Performance Management Module, users can create and assign performance reviews for managers, colleagues, and themselves to undertake. This article explains what a Review Strategy is and how to use it in the Performance Management Module.
- Review Strategy
- A Review Strategy sets up pre-scheduled reviews that the system automatically generates and assigns to relevant employees based on the strategy's details.
Permissions
The permission needed to create/edit/delete Review Strategies is Manage Performance Strategies and Criteria. This permission needs to be granted on Global level for the access to be granted.
Creating a Review Strategy
To create a Review Strategy, please follow the steps below:
- Within the Performance Management Module, click on the Reviews tab. Then click on + Create Review and click on Review Strategy.
- In the box that appears, you will need to supply the following details:
- Review details
- Frequency - How often should the reviews be generated? The dropdown options are: Once a year, Once a month, Every 6 months and At the end of each quarter.
- Start/End Date - When should this strategy begin (Start Date) and when should the strategy expire (End Date)? If the End Date is left blank, the strategy will continue until an End Date is added.
- Days till deadline - After a review is generated from the strategy, how many days do employees have to complete their reviews?
- Mark strategy as active - When you want the strategy to be live, tick this box. Inactive strategies do not generate reviews.
- Who will be reviewed?
- All employees - Enable this toggle to generate a review about every employee.
- Employees - Use this filter to specify which employees should have a review generated about them.
- Departments - Use this filter to specify which employees, based on departments, should have a review generated about them.
- Who will the reviewers be?
- Reviewer checkboxes - Use these checkboxes to include the reporting to manager of the reviewee, the reviewee themselves to complete a self-review, and/or the employees added to the same department/unit as the reviewee.
- Employees - Use this filter to specify which employees should be included as reviewers.
- Departments - Use this filter to specify which employees, based on departments, should be included as reviewers
- Review criteria
- Click the + Add Competency button to choose the Review Criteria for the reviewees to be evaluated against. Here you can also set the weighting of the competencies regarding the final score.
- Objectives
- Include all objectives in the review's score calculation - If the final score of the employee is to be based on the Review Criteria and Objectives, this toggle needs to be enabled. Left disabled, the final score will be based on Review Criteria only.
- Final score weight
- Set how much the Objectives and Review Criteria contribute to the final score by sliding the scale more towards Objectives or Review Criteria, or balanced equally.
- Review details
- Click Save Strategy.
Cloning, Editing or Deleting Strategies
At the far right of each strategy created, there are 3 buttons you can use for cloning (or duplicating), editing or deleting the review strategy.
When you click on the clone button, a dialog box will appear with the same details as the original review strategy completed so that you can make the needed changes. Click Save Strategy to save the cloned strategy with the amended details
If you click on the checkboxes next to review strategies, you will be able to make them active/inactive or delete them in bulk.
Review Strategy Cycles
When a Review Strategy has been created, the strategy will proceed through cycles determined by the frequency of the strategy.
- Previous cycle will show as N/A if this is the first time a strategy has been created.
- Next Cycle will show the date of the first/next time a review is due.
- Final cycle will show as N/A if the end date was set as indefinite, otherwise it will show the Final Cycle date determined by the end date set in the strategy.
Review Email Notifications
During the review process, employees will receive email notifications at the following points:
- When the review is created
- 3 days before the review is to be submitted
- On the day the review is to be submitted
If the review is submitted before these points, then no notification will be sent.
