This article provides a step by step instructions on the full process of creating a new vacancy within Talexio both for Free ATS and ATS Plus users.
Creating a Vacancy

Creating a vacancy is a simple and easy process. To create a vacancy:
- From the left menu, click on Vacancy.

Click the + Create Vacancy button.
This will direct you to the vacancy creation page, where you'll be prompted to enter the details of your vacancy. The required fields are explained in the sections below.
Some information on the Vacancy Creation page is required. These are marked with an asterisk (*) next to the field heading on the page.

- Position Title (Required) 📝: Keep it simple and easily searchable
- Vacancy Leader (Required) 👤: This refers to the team member who will be responsible for managing this specific vacancy
- Company (Required)🏢: In Talexio ATS, you can select from the companies you’ve created using the dropdown menu. If you need to create a new company, simply click the Plus button

- You have the option to use the Generate Job Description button, which will automatically create a job description based on the Position Title provided in the Vacancy Information. You can either keep the generated description or customise it to better fit your needs ✍️
- If you prefer to write the job description yourself, make sure to include the key responsibilities of the role, a glimpse into what a typical day might look like for the candidate, and any other relevant details that could help attract the right applicants.The description must be at least 700 characters long to ensure it's detailed enough for job seekers.
- If your position offers additional bonuses or commissions beyond the salary 💰, be sure to add those details to the job description as well.
- Languages (Optional)🌍: You can select from the scroll-down options the multiple languages skills the candidate may have to fit the role.;
- You have the option to use the Generate Job Description button, which will automatically create a job description based on the Position Title provided in the Vacancy Information. You can either keep the generated description or customise it to better fit your needs ✍️

- This is the basis for how job alerts are sent to candidates. If the wrong categories or specializations are selected, the job alert may be sent to the wrong candidates⚠️ . These suggested job categories are based on the Position Title and help increase the relevance of the vacancy when candidates are searching for jobs🔍.
- You can also select a job category from the dropdown menu to further, refine the match. Using the dropdown will allow you to select the job category and the specialisation below.

- Employment type (Required)💼: Select the appropriate option from the dropdown menu based on the vacancy.
- Experience level (Required)🧑💼: Choose the relevant experience level from the dropdown menu based on the work experience required to fulfil the job's expertise requirements.
- Country (Required)🌍: This represents the country the employee will be working in
- City (Required)🏙️:You can select the city in Malta where the job vacancy is located from the dropdown menu. However, if the work location is set to "Fully Remote," the City field becomes optional.
- Work Location (Optional)👩💻: This could either be Fully Remote, Hybrid or on-premises
- Industry (Optional)🏭: Here you can specify the Industry in which this vacancy falls.
While creating the vacancy on the ATS, you will only be able to select 1 Experience Level. However, the jobsinmalta.com platform allows you to advertise to multiple Employment Levels. Therefore, when publishing a vacancy to jobsinmalta.com you can add additional Employment Levels so that more people are alerted to the vacancy through job alerts

- Salary (Optional): This field specifies the amount paid for the job position, which can be entered as either an annual or hourly rate. The default currency is Euros💶. You also have the option to hide the salary from job seekers by unchecking the "Show Salary to Candidates" box when posting the vacancy. Displaying the salary can increase the chances of attracting higher-quality candidates and a larger volume of applicants📈

- You can add shortlisting questions to your vacancies, giving candidates an additional step in the application process📝. Applications can also be automatically closed based on the responses provided. For a better candidate experience, we recommend limiting shortlisting questions to a maximum of 5.
- There are two types of questions available;
- Text
- Yes/No
Text
Text questions can be used when more elaborate or descriptive answers are required.
Yes/No
Yes/No questions can be used when a simple and straightforward answer is required from a candidate. When added, an ideal answer is required. Candidate applications can also be automatically closed if the ideal answer is not met when the "Must have qualification" is selected.

- Reference No. #️⃣: This is used to uniquely identify an application. The system will automatically generate a unique code.
- Vacancy Status (Required) 🟢: This reflects the current status of the vacancy
- Vacancy Leader (Required) 👤: This refers to the team member who will be responsible for managing this specific vacancy
- Line Manager (Optional) 👤: Line Managers include a set of permissions that provide restricted access to vacancies and applications.
- Company (Required)🏢: In Talexio ATS, you can select from the companies you’ve created using the dropdown menu. If you need to create a new company, simply click the Plus button
- Primary Contact 📞 (Optional)
- Secondary Contact 📞 (Optional)
- Closing Date 📅 (Required): This represents the day that the vacancy will stop accepting applications.
- Line Managers may also create new vacancies however they will not have the facility to publish these vacancies. When a new vacancy is created by a line manager, the vacancy leader chosen will be notified by email.

- Referral End Date (Optional)📅: Select the end date for referrals
Publishing a Vacancy
Once all the vacancy details have been filled in, all that is now left to do is publish the vacancy. Depending on whether you have a Free or ATS Plus subscription, you will be able to publish on the jobsinmalta platform or your careersite, social media ...
