How do I change the Business Unit of an employee?

Overview

When a company is set up with multiple Business Units, if an employee is to switch employment from one company to another, you will need to terminate the position within one Business Unit and then employ them in another. This is done so that employees will be paid from the correct company payrolls and PE numbers. This article explains how this change is made.

Business Unit
A business unit is defined as a Company or Department with a separate PE number and therefore has its own payroll and settings. A Business Unit can be distinguished from other Units by its darker shade of blue in the organisation chart.

Permissions

You need to ensure that you have the Manage Employment Position History permission and either View All Employee Data or Manage All Employee Data permission set to the employee/s whose position you need to change. For more information on permissions, click here.

Changing the Business Unit

When there are changes to be made to an employee's position, instead of creating a new position and amending the previous position, you can simply edit the position by amending the details to be changed. More information on this process can be found here.

In the case of changing the Business Unit an employee is reflected under, the process is shown below:

  1. Locate the last position of the employee from the Employment tab of their profile, and click the Edit icon.


  2. From the Department field dropdown, click on Change Business Unit.


  3. In the box that is presented, select the date when the current position should be ended. Then click on End this position and Create a new one.


  4. This will trigger a new position box to open so that you can complete the details of the new position. In the department dropdown, you will see now all departments/units in the organisation, including the new Business Unit.


  5. After completing all the position fields with the Department set as the new Business Unit, click Add to create the new position. The employee will be shown from this position's start date in the new Business Unit in the organisation chart and also in the Payroll.

Since the employee has been moved from one Business Unit to another, this will mean the employee will have more than one FS3 generated at the end of the year and will be included in the End of Year submissions for each Business Unit.
