Overview
The finalisation of a review is completed by the manager of the Reviewee. The manager is the employee set as Reports to within a person's employment position.
- Finalised Review
A finalised review is a review that has had all the submissions sent by the reviewers and the manager has determined which reviews will be used to calculate the final score, known as the Finalised Rating.
Permissions
To finalise a performance review, managers who are set as the manager employees report to will only need the permission View Performance Reviews over the applicable employees.
Other employee scores are only visible when you have the permissions Manage Performance Reviews or View Performance Reviews over those employees. Without one of those permissions, you will only be able to see your own review score and not the final score.
Finalising a Review
When finalising a review, a manger can be selective of which reviews to include and therefore the system gives the two scores upon finalisation:
- Finalised Rating - This is the score of only the selected reviews taken in the finalisation.
- Overall Rating - This is the score of all the reviews submitted, even if they are not included in finalisation.
To finalise a review, the manager will follow the below steps:
From the For me to finalise pod in the Performance Management Dashboard:
or from the Reviews tab, the manager will click on the Finalise button.
In the box that appears, they will follow the following processes depending on whether the review included objectives or not:
With objectives included
- Select final score reviews - Select which reviews you would like to base your final score on.
- Select comments - Select which comments you want to make visible to the reviewee.
- Select and update objectives - Select which objectives should count towards the final score. Check and update the current value, weight, and status for each objective if needed.
- Adjust final score weight - Set how much Objectives and Review Criteria contribute to the final score.
- Review settings - Select whether you want the reviewee to view the final scores and receive a notification by email.
Without objectives included
- Select final score reviews - Select which reviews you would like to base your final score on.
- Select comments - Select which comments you want to make visible to the reviewee.
- Review settings - Select whether you want the reviewee to view the final scores and receive a notification by email.
- Once these details are completed, the manager will click Finalise to complete the process. This is when they will see confirmation of the Final Rating.
If the toggle Show final scores to reviewee was turned off in the finalisation process, a manager can turn it on afterwards by locating the review from the Reviews tab, click on the eye icon to view the review summary and turn the toggle on. Note: The final score is only visible to the reviewee and the people who can set a final score (that is the user who finalised the review).
Can I undo the finalisation of a review?
Yes, you can unfinalise a review by locating the review from the Reviews tab and click on the eye icon to view the review summary.
From the box that appears, click on the button Unfinalise.
Once it is unfinalised, the process to finalise the review once again will need to be followed.
Final Score Calculation
Upon the completion of the reviews, the manager will finalise the reviews. The Final Score will be based on the competency scores and Competency Category Weighting. This may also include the objectives and Objective Weighting. The way this is calculated is below in order to show this as a score out of 10:
Calculation
((Competency Category Weighting Calculation / 100) * Review Criteria Weight Balance Percentage) + ((Objective Weighting Calculation / 100) * Objectives Weight Balance Percentage)
The Competency Category Weighting Calculation can be found here and the Objective Weighting Calculation can be found here.
Example
The below review has been created with Review Criteria Weight Balance Percentage of 40% and Objectives Weight Balance Percentage of 60%
The Competency Category Weighting Calculation is 5.6/10 and the Objective Weighting Calculation is 6/10
The final score of 5.84/10 is achieved using the calculation above shown below:
((Competency Category Weighting Calculation 5.6 / 100) * Review Criteria Weight Balance Percentage 40%) + ((Objective Weighting Calculation 6 / 100) * Objectives Weight Balance Percentage 60%) = 5.84/10
