How to view your leave balance: A Quick Guide for Employees

Overview

Planning a holiday and need to see how much time you can take off? This article will help you check your leave balances so you can make plans.

Your account has been created by a system administrator within your company. These system administrators are your first point of contact when you have questions about the system.

The Process

Your leave balances can be easily located on your Dashboard, which is shown after you log in to your account:

Here you will see the following columns:

  • Type (colour-coded): This shows which leave type each box represents. For example, you might see here Vacation, Sick, Maternity, etc.
  • Entitlement: This shows how many hours in total you started with before booking any leave. This is your base entitlement, leave carried forward, and any adjustments, all grouped.
  • Accrued: This shows you how many hours you have amassed up until the end of the current month. For example, if you look at your accrued balance in January, this is calculated as the number of days in January divided by the number days in the year and multiplied by your base entitlement. Each month, the accrued balance will increase (it will decrease with leave taken).
  • Used: This is the amount of leave booked, including future leave requests that have been approved, and it will also include any leave paid off.
  • Remaining: This is how many hours you have remaining to use.

If an employee has positions running concurrently in two different business units, the leave balances are displayed per business unit in a separately highlighted column. In the image below, 'YOUR COMPANY' is one business unit, while 'TEACHING DEPARTMENT' is another business unit. So, if you select the business unit YOUR COMPANY', the leave data under that business unit would be displayed, and vice versa for the other business unit:




 

Should you want to see how the hours and balance were calculated, you can click on the Leave Breakdown and click on the "Balance Workings" toggle to see how it was calculated.

If you would like to see these balances and entitlements in more detail, you can click on the Balance Breakdown toggle to open a more detailed breakdown of the entitlements.

 

View Leave in Days or Hours


Talexio allows you to view your leave balance in days or in hours. To switch between your preferred option, click on the cog icon and select 'Show Leave in hours' or 'Show leave in days'.

This will change the view for yourself only. 

One day of leave is calculated based on your Job Schedule working hours. So if you are a full timer working 40 hours, 5 days a week, 1 day is equivalent to 8 hours. If you have 80 hours of vacation leave remaining, this is equivalent to 10 days. If you are a part timer working 20 hours, 5 days a week, 1 day is equivalent to 4 hours. If you have 40 hours of vacation leave remaining, this is also equivalent to 10 days. But each day is shorter than the vacation leave of the full timer in this example.

Why is my leave balance showing as negative?

A negative balance means you’ve taken more leave than you are entitled to.

If you would like to discuss this and get more clarification, report it to your manager or System Administrator.

How often are leave balances updated?

Leave balances are updated in real time. If you recently booked leave and it’s not reflected yet, it is possible that it has not yet been approved by your manager. You will receive an email notification once it is approved.

If you still have questions about the balance, report it to your manager or System Administrator.

Does the balance include future approved leave? Yes. Once leave is approved for the future, it is considered as used because, unless it is cancelled, it will be taken.
How is my leave calculated? Leave is calculated based on your working hours and employment duration. You can find more details about how leave is calculated here.
What should I do if my leave balance looks wrong?

If something doesn’t look right with your leave balances, you can check your leave booked from the leave calendar.

If you feel that the details are still incorrect, report it to your manager or System Administrator for clarification.
