Overview
Calculating your company's payroll can be quite cumbersome if you need to add a lot of data each time. Thankfully, using Talexio's bulk edit function, you may import data quickly and easily!
An overview of the Payroll Bulk Edit, including instructions on how to access it, can be found here. This article explains the Adjustments tab in the payroll bulk edit.
Permissions
You need to ensure that you have the Manage payroll permission to make use of this function.
Using the Adjustments Tab
Editing in the Bulk Edit Dialog
In the Adjustments tab, you will see the adjustments of all the unlocked payslips already added to the payroll run. To edit the existing data, simply click on the row to be changed and add the new values in the relevant fields.
To add a new adjustment, click + New Adjustment and fill in the following details and click Apply:
- Name - Type the name of the adjustment. If the adjustment already exists on Talexio, when it is selected from the dropdown, the Category and Is Taxed will be automatically updated according to the saved benefit settings. If it is an one-off adjustment, the other details will need to be added manually.
- Category - Select the relevant benefit category.
- Cost Centre - Select the relevant Cost Centre. If Auto is selected, the Cost Centre will automatically be assigned to the one selected within the employee position history. If multiple Cost Centres are assigned to one employee within their position history, the cost centre split will also be reflected for these adjustments.
- Is Taxed - If the adjustment is a pre-tax adjustment, this should be ticked. Unticked means the adjustment is a post-tax adjustment.
- Employees - Select the employees the adjustment should be applied to using the filters and checkboxes or the select all checkbox.
For one-off adjustments, the adjustment will be created, but the amounts to be received will need to be updated by clicking on the rows of data.
To amend an existing adjustment, click on the adjustment from the list on the left and click Manage 'Adjustment'. Make the changes in the dialog for the relevant employees and click Apply.
Using the Bulk Edit Template
You may also make use of the bulk upload function. To download the spreadsheet template, click on Bulk Upload. The template would need to be completed, saved and uploaded to the same location it was downloaded from.
The sheet contains the following columns:
- PayrollStart/PayrollEnd - The Start and End date of the relevant payroll period.
- EmployeeCode - The employee code of the employee to receive the uploaded adjustment.
- BenefitCode - The Benefit Code for the adjustment to be uploaded, which can be selected from the dropdown in the cell. This list is based on already created Benefits.
- Amount - The total amount for the employee's adjustment.
- CostCentre - The Cost Centre the adjustment should be apportioned to. If this is left blank, the the Cost Centre will be assigned according to the Cost Centre assigned to the employee.
InternalRemark - A note for internal reference when looking at the employee's payslip dialog.
PayslipRemark - A note for employee reference when looking at the employee's payslip PDF.
Once the sheet is completed, save it and upload it to the same location it was downloaded from and the adjustments will be added to the employee. Click Save to save the changes made in the bulk edit.
