Carrying Forward Leave Entitlements into the Next Year

Overview

Any remaining leave balance from one year may be moved to the next year at any point. This can be done for specific employees manually or using bulk uploads for multiple specific employees, following the steps in this article.

However, using our Leave Carry Forward Wizard, this process can be completed for all employees in one place.

You may only carry forward a positive balance. If an employee has a negative balance, this cannot be carried forward to the next year. Also, if you would like to pay off any remaining leave entitlements, you may do so through payroll.

Permissions

To carry leave forward to the next year, you will need all three of the following permissions:

  • Approve Leave (this must be set on a global level);
  • Manage Leave Types (this must be set on a global level); and 
  • Manage All Employee Data

Using the Carry Forward Wizard

Our Leave Carry Forward Wizard allows you to view the current remaining balances of all the employees, decide how many to carry forward, and when they should expire, if applicable, all in one place.

  1. Go to the Leave section.
  2. Select the year from the calendar or list view from which you are transferring the entitlements.

  3. Click on the Get Balances button:

  4. A pop-up will show any leave types that are set to allow leave entitlements to be carried forward in the Leave Types section. It will also show the existing balance of each employee and a field for the number of hours to be carried forward. You are able to either carry forward the leave in hours or a percentage of the balance.

    If you click on the HRS (as illustrated by the arrow above), it then changes to %. By doing so, you can specify the percentage of the leave balance to be carried forward to the following year.

  5. If a maximum carry forward is set, the number of hours in the Carry forward field will not exceed this amount. This also applies to the percentage.

  6. The maximum amount of leave carried forward can also be set as a percentage. To change to a percentage, click on the HRS text in the dialog. This can also be assigned a default value from the leave types.

  7. Should you choose to set up an expiry date, if carried forward leave with an expiry date is not used by that date, the remaining balance will be automatically removed.

Any leave booked for the next year will take leave from the leave carried forward before using up the new year's base leave entitlement, assuming the expiry date, if any, has not yet elapsed.
