Overview
Employee Forms offer a self-service channel that lets staff initiate requests and submit information directly, reducing manual task assignments and administrative overhead.
This article explains how you can create Employee Forms from the already created templates.
Employee forms are initiated by employees and therefore will not be assigned to them. Instead, companies should inform employees which forms are available for them to create as needed.
Permissions
Users will need the permission Create Employee Forms assigned over the intended employee/subject. With the permission Approve Employee Forms over the intended employee/subject, users can also upload Employee Form data in bulk.
Creating an Employee Form
Employee Forms can be created by an employee or be uploaded in bulk following the steps below:
- From your dashboard, or from the subject employee's profile click the Forms tab > Click Create form.
- Select the appropriate template
- Complete the details of the form.
- Click Save as Draft to save what has been added and return to the form later
- Click Save & Publish to complete the form and send for approval.
- Go to People > Click on the 3 dots > Click on Employee Forms.
- Select the appropriate template > Click Download Template.
- Complete the fields in the template.
- Save the document and from the download location, select Upload Template.
The fields in the upload template will be the same ones added to the form template and will require the correct input. For example. if the template contains a Date & Time field, the full details would be needed. "31/12/2019 14:30" would be accepted, but "31/12/2019" alone would not.
What Happens when Employee Forms are Submitted?
When you click Save & Publish after completing the Employee Form, for most employee's this will be submitted for approval by a manager or the HR Team.
If an employee has the permission Approve Employee Forms over the specific employee/subject, then the form would be submitted and approved immediately.
Can Submitted Forms be Edited or Deleted?
Yes. Next to the form submitted, there is a 3 dot menu from which the options to edit the submission or delete it.
Forms can also be deleted from an employee profile in bulk by selecting all the forms > Click on Bulk Actions > Click Delete.
