Payroll Permissions

Overview

Permissions determine what you can and cannot see/do on Talexio. It is important to set these up correctly. Click here for detailed instructions on how to set up permissions. Click here for the full list of available permissions. Read on for an explanation on the permissions relating to employee data. Payroll permissions primarily target what you can see and do in the Payroll section.

Permissions

To set up and manage permissions, you will need the Manage Permissions permission, and this must be set to global. 

Payroll Permissions

There are 5 permissions in this section:

  • This allows users to generate documents such as FS3s, FS4s, FS5s and FS7s. Alone, this permission will only allow the user to generate their own FS3 and FS4:

    In addition to this permission, if the user has the View All Employee Data, Manage All Employee Date, View Employment Position History or Manage Employment Position History permission then they will also be able to generate FS3s and FS4s for other employees.     If the user has the Manage Payroll permission in addition to the Generate Employee FSS Documents permission, then they will be able to generate FS5s and FS7 documents. 

  • This allows the user to access the Benefits and Perks tabs in the Settings section. With this permission, users can add, edit, and delete Benefits and Perks (please note that this does not include adding/deleting benefits or perks for specific employees unless the user has the Manage Employment Position History position).

    Please note that this permission must always be set on Global.

  • This allows the user to add, edit, and remove employee payroll details. Such details include the Payment type, NI settings, Marital Status, SSC Benefit Status, Tax Status, Tax Number and Bank Account details.

    This permission also gives the user access to the Requests section, where such user will be able to approve or reject changes to payroll details done by employees (for whom the user has permission to Manage Employee Payroll Details). 

    Please note that basic employees (with minimal Team Member permissions or no permissions at all) will be able to add their bank account to their profile. Such changes then need to be approved by the user with Manage Employee Payroll Details. A basic employee cannot amend their NI settings, Tax status, etc without the Manage Employee Payroll Details permission.  

     

  • This allows the user to access the Payroll section:

    With this permission, users will have full access to do the following in this section:

    • Create payrolls (for any business units in the company):

    • Add, edit, refresh, delete, and lock/unlock payslips:

    • Generate reports:

    • Download (but not send) payslips and FS3s, generate payment files, payment reports, FS5s:

    For users to be able to upload previous payroll data (such as FS3s), the Manage All Employee Data permission is also required. 

    For users to be able to send payslips to employees via email, the Manage All Employee Data permission is also required.

  • This allows the user to view (and not edit) employee payroll details. Such details include the Payment type, NI settings, Marital Status, SSC Benefit Status, Tax Status, Tax Number and Bank Account details.

    Please note that basic employees (with minimal Team Member permissions or no permissions at all) will be able to add their bank account to their profile. Such changes then need to be approved by the user with Manage Employee Payroll Details. A basic employee cannot amend their NI settings, Tax status, etc without the Manage Employee Payroll Details permission.

Payroll Settings

Users with Manage Payroll and Manage Client Settings permissions gain access to the payroll settings:

If users have Manage Employment Position History permissions too, they will be able to set COLA adjustments
