Overview

After setting up your company's departments and position titles, you will need to set up the job schedules. A Job Schedule shows what the pattern of work is for employees. The Job Schedule will contain their weekly number of hours, working days, etc.

For employees who are not full-time employees, Talexio will show the Leave Accumulation modes. This field specifies how leave entitlements will be accumulated for the employee. This article explains the different Leave Accumulation modes.

Leave accumulated will be added to the employee's leave entitlements once their payslip is locked.

Leave accumulation

Leave accumulation, is the process by which an employee gradually earns leave entitlements based on the amount of time they have worked.

Leave Accumulation Modes

Within the Job Schedule for non full-time employees, the options for leave accumulation are:

  • All basic hours - This mode accumulates leave based on all the basic hours included in the employees payslip.
  • T&A clocked basic hours only - This mode accumulates leave based on the basic hours included in the employees payslip that are automatically added from the Time & Attendance module.
  • Extra basic hours only - This mode accumulates leave based on the extra basic hours included in the employees payslip. For employees who have a fixed schedule but are not full-time employees, this option is shows by default.
  • Does not accumulate - This removes any accumulation of leave.

Part time employees who are on a fixed job schedule are entitled to a base entitlement of leave which is pro-rated according to their fixed weekly hours and employment duration. Since these employees are not Full Time employees, they also have the option to accumulate leave. In such a case, you may select the leave accumulation on Extra basic hours. This will give the Part Time employees additional leave entitlement for any extra hours they work over and above their normal working hours.

Irregular or Casual employees are also not Full Time employees and so they also have the option to accumulate leave. In these cases, they are also not given a base entitlement of leave as they do not have fixed weekly hours on which the system can calculate a base entitlement. This means that such employees begin their employment with 0 leave entitlement. They will then accumulate leave on the basis selected in the Leave Accumulation mode.

More information on the leave accumulation calculation can be found here.
