Overview
One of the modules offered by Talexio is the Time & Attendance module. This module is used to create scheduled shifts for employees, to log time clocked by employees (using either the online punch clock or the physical punch clock device), as well as to approve those clocked hours in comparison to the shifts published.
Time & Attendance Features
Talexio's Training Management module simplifies your training workflow by making use of the following features:
- Create custom Shift Templates with predetermined lateness penalties and allowances
- Generate Working Schedules for employees in bulk
- Manage Employee clockings
- Approve Basic and Overtime hours in bulk

Onboarding the Time & Attendance Module
If you have selected to use the Time & Attendance module, the steps to follow to get yourself using it are shown below:
-
Whilst you are adding your employees to Talexio, you will need to determine which employees will make use of time and attendance and which will not. You can read more about adding employees and creating their positions. Please note that as administrators, this information can be changed from your end. So if during the year the requirement for an employee to use time and attendance changes, the setting can be changed.
More information on this step can be found here.
-
Shift allowances refer to allowances that are paid to employees when working specific shifts. Once these are created, they can be assigned to shift templates (Step 5).
More information on this step can be found here.
-
Lateness penalties can be set up so that employees who are late to punch in will see a deduction in vacation leave or basic hours paid at the payroll stage, following an approval process. Once these are created, they can be assigned to shift templates (Step 5).
More information on this step can be found here.
-
If your employees need to punch in for work (be it via the online punch clock or the physical punch clock), you might want to set up work locations to enable Talexio to identify from where employees punch in. Work locations are also used in instances where you need to create a roster for multiple locations.
More information on this step can be found here.
-
Shift templates are the building blocks of roster generation. In this step, you can create all variations of shifts available within your company, for consistency. You will then be able to assign these shift templates to your employees when creating the weekly/monthly roster.
More information on this step can be found here.
-
Once the shift templates are set up, you can proceed to configure shifts in the Schedule Generator. In this section, you can set up Fixed Shifts (for employees who will be working the same hours per day and same days per week) or Rotations/Personalised Rotation Patterns (for employees who work on a rotation basis, such as Day, Night, Rest, Off). If you need to plot a variable roster which does not follow a fixed or rotation pattern, you will be able to do this through the Working Schedule directly (Step 7).
More information on setting up Fixed Shifts and Rotations can be found here.
More information on setting up Personalised Rotation Patterns can be found here.
Once the shifts are configured, you can proceed to generate the working schedule.
More information on this step can be found here.
-
The Working Schedule helps you manage shifts and track attendance more efficiently. Here you can view and generate your company/department’s shifts on a daily, weekly, or monthly basis.
More information on this step can be found here.
For employees who do not follow a regular pattern, you can add shifts individually in the Working Schedule or in Bulk.
More information on this step can be found here.
-
Working schedule needs can be set to ensure that the resources required by job title and work location, are catered for when generating the roster. If the minimum required number of shifts is not met, a warning should be displayed to alert the users. This step is optional.
More information on this step can be found here.
