My Leave Balances: A Quick Guide for Employees

Overview

On Talexio, you will find the leave balances pod both on your dashboard and in your leave section. This gives you a breakdown of the leave entitlements for the different leave types you have been permitted to view.

If there is a leave type that is not shown in the Leave Balances widget, it means you cannot view that leave type. You will need to speak to your system administrator for more information on that leave type.

Your account has been created by a system administrator within your company. These System Administrators are your first point of contact when you have questions about the system.

Leave Balances

Within this Leave Balances widget, there is a view that you see as a summary, and a further breakdown is shown with more details when you click Leave Breakdown. What is seen in each view is explained below:

From your Leave Balances pod, you will see the following as a summary:

  • Leave Types : These are the different types of leave that you have been permitted to view.

  • Entitlement Tracker : This is a handy tool to give you a summary of your entitlements at a quick glance.

     
  • Entitlement : The leave entitlement is made up of the base entitlement and any adjustments, such as leave carried forward. In the case of part-timers and irregular workers, the entitlement includes any accumulated amounts based on their working hours to date.
  • Used : Used is the number of hours of leave approved, including leave approved in the future.
  • Accrued : Accrued leave is the entitlement you have earned based on the duration of your employment to date. This shows the amount you have accrued up until the end of the current month.
  • Remaining : The remaining amount of accrued entitlement after having deducted the used amount. This is the amount that remains available to you when booking leave of this type.

From your Leave Balances pod, there is a Leave Breakdown button, which provides more detail about your leave balances:

  • Leave Type : These are the different types of leave that you have been permitted to view.
  • Year : This is the year the entitlements are assigned to.

  • Balance Breakdown : The Balance Breakdown section explains in more detail what the remaining balance is based on.

    • Base Entitlement : This is the entitlement granted to the employee based on the annual amount set for a full-time employee in the Leave Entitlements. This amount may be prorated based on the employee's job schedule or employment duration.
    • Accumulated : Employees who do not work on a fixed schedule can accumulate leave for the hours they work. Accumulated leave is the leave that a non-full-time employee accumulates throughout their employment.

      Automatic accumulation applies only if you have the Payroll module enabled. If you do not have the Payroll module, leave entitlement for extra hours worked by employees on a fixed part-time schedule or casual workers per month should be manually calculated based on hours worked and added to the relevant employee’s leave entitlement as an adjustment.

    • Adjustments : Any changes to the leave entitlements, such as leave carried forward, are added as adjustments. More information on adding adjustments is found here.
    • Leave Paid Off : This is the number of hours that were paid off in an employee's payslip.

      This applies only if you have the Payroll module enabled. If you do not have the Payroll module, there will be no leave paid off.

    • Used : Used is the number of hours of leave approved, including leave approved in the future
    • Balance Remaining : The remaining amount of accrued entitlement after having deducted the used amount. This is the amount that remains available to you when booking leave of this type.
    • Accrued as of : Accrued leave is the entitlement you have earned based on the duration of your employment to date. This shows the amount you have accrued up until the end of the current month.
    • Remaining accrued leave as of : This is the remaining accrued leave based on the duration of your employment to date.
  • Adjustments : Any changes to the leave entitlements, such as leave carried forward, are added as Adjustments. More information on adding Adjustments is found here.

  • Balance Workings - Balance Workings shows you how the Base Entitlement is calculated. This will be split according to the different positions held within the year. More information on leave calculations can be found here.

If you see an eye icon next to the entitlements, this leave type is allowed to bank leave, and the icon will show more details of the banked leave. Click here for more information on Banked Leave.

If an employee has positions running concurrently in two different business units, the leave balances are displayed per business unit in a separately highlighted column. In the image below, 'Business Unit 2' is one business unit, while 'YOUR COMPANY' is another business unit. So, if you select the business unit 'Business Unit 2', the leave data under that business unit would be displayed, and vice versa for the other business unit.
